Allied Universal® Event Services is hiring a Operations Support Manager. The Operational Support Manager is responsible for providing branch-level operation and administative support including recruiting, new hire onboarding functions, licensing, scheduling, and logistics support.
RESPONSIBILITIES:
Assist with logistics including ordering, cleaning, and distribution of equipment and uniforms
Maintain an accurate inventory count to prevent lost equipment, and transportation of deliverance of equipment
Ensure equipment is properly tagged and logged for tracking
Conduct New Employee Orientation sessions
Administer and track compliance of any state required license training utilizing WinTeam compliance and ABI skill codes
Distribute and collect union cards (in applicable locations)
Ensure completion of post-employment offer forms/activity (e.g., new hire onboarding paperwork)
Instruction of basic pre-assignment training lessons and ongoing training including compliance tracking, reporting, and filing
Work closely with Regional Recruitment Manager to evaluate hiring needs and ensure recruiting activities support for branch hiring needs
Utilize iCIMS recruiting software to process new applicants
Schedule and interview prospective employees
Schedule and maintain an orientation schedule
Attend periodic relevant recruitment activities, such as job fairs, recruitment programs, etc. with Regional Recruiter on an as-needed basis
Print badges for new hire employees
Coordinate with Payroll to ensure changes are completed properly; respond to questions as needed
Assist with various administrative duties as assigned by the Branch management team, Recruiting and Human Resources, or Regional Vice President
Coordinate with the Branch Manager the staffing needs for all upcoming events; utilizing work order forms for accuracy
Schedule and confirm appropriate supervision and team members for each individual event; practice, promote, and ensure “Smart Scheduling” using ABI system
Ensure each position/event is scheduled with the “right person” not just any employee. NEVER schedules an unlicensed employee for a security position
Immediate communicates with the Branch Manager any concerns such as: shortages, failure to schedule, personnel concerns, etc.
Capably utilize ABI for scheduling and to produce reports
Meet all contractual scheduled hours for event/site assigned to the Account Manager/Branch Manager
Schedule employees to work at the events/sites where openings exist
Assist with building job orders into scheduling systems, ABI and WinTeam
Support orientation and training of new employees on scheduling procedures
QUALIFICATIONS:
High School diploma or equivalent
Minimum of one (1) year of administrative, human resources, employee onboarding, and/or classroom instructor experience
Prior work experience in a fast-paced administrative environment
Work history must include:
Excellent organizational skills that include the ability to multi-task and prioritize work
Strong consultative, analytical, and problem-solving skills
Ability to communicate effectively with leadership
Outstanding oral and written communication skills
Able to concentrate on details, work under deadline pressures, apply sound logic and judgment, and prioritize tasks and responsibilities
Able to focus and multi-task in an ever-changing environment; successfully handle stressful situations in a calm and professional manner
Able to effectively manage multiple interactions with diverse personalities and engage them to perform at optimum levels
Highly proficient and fully functional in all Microsoft Office applications and able to effectively utilize all available office management technology
PREFERRED QUALIFICATIONS:
Associate’s degree or higher in Education, Business, Criminal Justice, Human Resources, Security Management, or a closely related field
Prior human resources, recruiting, scheduling or logistics experience in a service industry business
Work experience conducting applicant sourcing, interviewing job applicants, and conducting employee onboarding in a high volume setting
